
The purpose of a collection call is to get a payment, no matter how big or how small. Ideally it will be in full but sometimes that is not realistic. Remember that this is the time to set up payment arrangements if your customer cannot pay in full. Also, remember that if you set up a customer on a payment plan you will want to re-evaluate their credit terms. You don't want to continue to extend credit to a customer that is making payments on a balance that they cannot pay off in full.
At the end of the call, repeat the payment schedule to the debtor and make a note in the comments section of their account. Whenever you make a payment arrangement like this, you need to send a follow up letter the same day with the same information in the letter as you stated on the phone. A good idea is to include a payment envelope with the letter. The easier you make it for the customer to pay you, the better your chances of getting paid. You may even want to provide a postage paid envelope or at least have the envelope pre-printed with your company address.
